The Information We Collect

We collect personal information that you provide to us directly – for example, when you make an enquiry through our website, email us, speak with us by phone, or book a trip. This may include information that identifies you, such as your full name, email address, home address, telephone number, country of residence, and details relevant to your trip with us (such as dietary requirements, fitness information, and travel dates).

We also collect some information automatically when you use our website, through cookies and similar technologies, as described in the Cookies and the Advertising and Analytics sections below.

Why We Collect This Information and How We Use It

We collect personal information so that we can provide you with the best possible service. In particular, we use it to:

• respond to your enquiries and manage your booking and trip arrangements;
• improve the trips and services we offer;
• keep internal records;
• contact you from time to time with information about our trips and promotional material we think will interest you; and
• carry out occasional market research, by telephone, email, or mail.

We will not rent or sell any personal information relating to you. Ever. To anyone.

All marketing emails we send comply with New Zealand’s Unsolicited Electronic Messages Act 2007. Every marketing email includes a working unsubscribe link, and you can opt out of receiving marketing communications from us at any time.

How Long We Keep Your Information

We retain your personal information for as long as we reasonably believe you are interested in our trips, or as long as we need it for the purposes described above or to meet our legal obligations (for example, financial record-keeping requirements). If you would like us to remove your information from our database, just ask – you can contact us at any time using the details at the end of this policy and we will delete it, except where we are legally required to keep it.

Where We Store Your Information – Our Customer Database

We use ActiveCampaign, a customer relationship management (CRM) and email marketing platform, to store guest and enquiry details and to manage our email communications. This means the personal information you give us is held securely on ActiveCampaign’s servers, which are located outside New Zealand (primarily in the United States). ActiveCampaign is contractually bound to protect your information and may only use it to provide services to us. Where we disclose personal information to service providers based overseas (such as ActiveCampaign, Google, Meta, and Eway), we take reasonable steps to ensure the information will be subject to safeguards comparable to those in the New Zealand Privacy Act 2020, as required by Information Privacy Principle 12.

Security of Your Personal Information

We treat the security of your information with the greatest importance. We have implemented firewalls, data encryption, and other technical and organisational security measures to protect it. That said, no transmission of data over the Internet can be guaranteed to be 100% secure, and while we use all reasonable methods to protect your personal information, we cannot guarantee absolute security.

If a privacy breach ever occurs that is likely to cause you serious harm, we will notify you and the Office of the Privacy Commissioner as required by the Privacy Act 2020.

Cookies

Cookies are small files stored on your device that ‘remember’ information about your visit. Like most websites, ours uses cookies to understand which pages are being visited and how visitors use the site, so we can improve it and tailor it to our customers. This analytics information is used for statistical purposes.

You can choose whether or not to accept cookies. Most browsers accept cookies automatically, and you can change this setting at any time. We recommend allowing cookies so you can take full advantage of the website, but the choice is yours. The cookies we use do not give us access to your device.

Advertising and Analytics

Google Analytics. We use Google Analytics to understand how visitors use our website – for example, which pages are most popular and how people find us. Google Ads remarketing. Our site uses Google Ads remarketing to show ads on third-party sites – including Google search results and the Google Display Network – to people who have previously visited our website. These ads rely on cookies placed during your visit. Any data collected is used in accordance with this policy and Google’s privacy policy. You can set your preferences for how Google advertises to you at adssettings.google.com, or opt out of this kind of advertising through your cookie settings or a browser plugin.

Meta (Facebook and Instagram) advertising. We advertise on Meta platforms, and our website uses the Meta Pixel. The Pixel allows us to measure the effectiveness of our advertising and to show ads on Facebook and Instagram to people who have visited our website or shown interest in trips like ours. Data collected through the Pixel is used in accordance with this policy and Meta’s privacy policy. You can manage how Meta uses your data for advertising in your Facebook or Instagram ad preferences at facebook.com/adpreferences, or opt out through your cookie settings.

Payment Processing and Credit Card Security

New Zealand Trails uses Eway as its payment gateway for online credit card transactions. Eway processes online payments for thousands of merchants globally, providing a safe and secure online payment service, with payments processed in real time.

New Zealand Trails does not have access to, and does not store, your full card number. Your card details are captured and processed securely by Eway, which is certified to Level 1 of the Payment Card Industry Data Security Standard (PCI DSS) – the highest level of security certification in the payments industry. All transaction details are stored in Eway’s PCI DSS-compliant infrastructure.

Third-Party Websites

Our site may include links to third-party websites over which we have no control. This Privacy Policy does not cover those sites, and any information you provide to them – generally in relation to travel reservations – is subject to that company’s own privacy policy. We accept no liability for the actions or policies of third-party sites, and we advise you to read the privacy policies of any site you provide information to, as they may differ from ours.

Access and Correction

Under the New Zealand Privacy Act 2020, you have the right to ask for a copy of the personal information we hold about you, and to ask us to correct it if you think it is wrong. We will not charge you for making an access or correction request, and we will respond as soon as practicable and in any case within 20 working days, as the Act requires.
